Picklist Pending Not Found Option
Enhancement Request: Add the ability to mark a Picklist Pending item as “Not Found” while keeping the item in a pending status.
Current Challenge:
When staff are unable to locate an item on the Picklist Pending report, there is no way to indicate that a search was completed and the item was not found. As a result, staff cannot easily communicate to follow-up staff that the item requires a second search.
While the Ask Later feature exists, it is not an effective solution for this scenario because it removes the item from the local Picklist Pending list and places it back into the queue for partner libraries. Staff need a way to document that an item was searched for but not located while keeping the request visible and pending at the owning location.
Requested Enhancement:
Add a “Not Found” status or flag for Picklist Pending items. Selecting this option would record that the item was searched for but not located, while keeping the item in a pending status so that another staff member can perform a follow-up search.
Benefit:
This would improve staff communication, reduce duplicate searching, save the need to print paper copies of the report, and provide a workflow for a second set of eyes to verify whether an item is truly missing or simply overlooked.

Hi Gabrielle,
You are correct the existing Missing functionality does not fit our workflow because it removes the item from the Picklist Pending. Our workflow requires two different people to look for, and not find, an item before it’s marked missing. Thank you for your question and consideration.

Hello M M K,
Does the existing Missing functionality not fit your desired workflow because it removes the item from the Picklist? -

I do think this could be useful and I think it could be implemented pretty easily by essentially cloning the "Located" tab (only not have it clear automatically). That way, you have a "Unable to Locate" tab that staff could return to for a second pass later without gumming up the "Pending" requests with items that are probably a little out of place. It would also be nice to have a counter that could be incremented with each "search", since I know libraries have lots of different ideas/policies on how many times they should look for something before declaring it "Missing".
Speaking of which, I know "Missing" is intended to serve this function in theory, but in practice, many libraries prefer not to mark items "Missing" until they've done a more thorough search... many items are only off by a shelf or two... often the result of "good Samaritan re-shelving" or volunteers/staff still familiarizing themselves with local item placement.
