  1. Pending requests to use rooms or equipment should block staff (or prompt them with an override) when editing existing bookings to times which would conflict.

    Use case: we had a pending request for our playroom for later in the day that staff hadn't yet approved for use because admin staff were in meetings. When a no-show called during the meeting to rebook for later, the staff member didn't know a booking was pending because the system doesn't hold the room, so they rebooked over the pending request.   2. The EQUIPMENT BOOKINGS option in the public view is listed at the bottom of the webpage. In comparison, a ROOM BOOKINGS option is listed at both the top and the bottom ofthe public view webpage.
    Having the EQUIPMENT BOOKINGS option at both the top and bottom of the webpage would give it more accessiblity (the user doesn't have to work harder when looking for it and doesn't have to scroll down to the bottom of the page to use the feature).

  3. We’ve received direct feedback from patrons regarding insufficient colour contrast for descriptive text in Vega Program, specifically where light grey text appears on a light grey background. Patrons have indicated that this combination is difficult to read and does not meet their accessibility needs. This contrast issue creates barriers for users with low vision, colour vision deficiencies, or other visual accessibility requirements.

    It would be ideal to have greater customization and control over colour contrast for event description and copy to better support patrons who require higher contrast for reading.

  4. Allow staff to Block out a room for more than 1 day per instance. It would be better if we were able to block out a room for a range of time. Say for example, one of our branches will be undergoing renovations effective June 1 for about 6 months. Some type of bulk block outs would be easier to set.

  5. We LOVE the enhancements to statistics. On the emailed report, could "tomorrow" be an option? We print and prep the rooms and equipment report at close for the crew that opens.

  6. we want to extract automatically events from the calendar at frequent intervals to put into our web pages and html newsletters . For what we expect, please see

  7. Please consider adding a group name on Room Reservations that is visible on the calendar. We frequently have attendees who only know the group name and it would be a big help.

  8. We have many guests who attend our programs, but they are unable to receive an email the following day to give their feedback when the event has concluded. Currently, only registered members with a card receive this option.

    Hi Emily,

    You can update your email images from the Email Template page.

    You can send a replacement default image for your event pages by opening a support ticket. Please note that each library has a single default event image.

  10. Can we get an announcement header like Vega Discover has for Program? It would be useful if patrons can see our holiday closing message or emergency announcements if they are in Program.

  11. We just started using Vega Program and we are part of a consortium. Our previous software would embed the filters that were applied to the URL, which we could then use and post a link from our website to. We have over 20 libraries in the consortium, so we would filter it to our two libraries serving our community and for the current month then place that link on our website and PAC, but we could also filter it by Event Type and it would embed that filter into the URL as well.

    I'm happy to report that this is already supported! Here's how you configure your links:  

    From the landing page, click on the search icon to open the Advanced search page. From here, you can apply the location and categories that you want for your URL link.

    For example:

    https://iiiproduct.events.mylibrary.digital/search?c=13,2,7&l=1,82 

    • Locations: Maple Grove Library and Whispering Pines
    • Categories: Adult, Cooking and Crafts, and Kids

    To create a URL that displays the list view of the homepage: https://iiiproduct.events.mylibrary.digital?&locations=1,82&categories=13,2,7

    To create a URL that displays the calendar view of the homepage:

  14. Currently, no option exists to remove a created Location. It IS clearly stated when creating a Location that they cannot be deleted post creation, but there's no explanation given as to why this is, nor how one could go about deleting them--if possible at all. The Locations can obviously be made invisible to both staff & users to free them up from most areas in the system, but they still remain when reviewing the list of Locations.

    This makes things like temporary off-site locations needlessly troublesome to handle since they effectively become "dead" options that remain in the list with…

  15. We believe it'd be helpful if there was an option for the Back-end Calendar to display events that occur at locations alternative to the main location, and an option to create rooms that are viewable by patrons but not are not actually bookable.

    Our library occassionally hosts programs in open spaces within the building, such as the open space in the children's department or a small nook in the YA area. We've found difficultly properly displaying these events on both the back- & front-end calendars for staff and users, as the options currently available for such events either don't equivalently…

    Since this calendar was intended to track room use, locations that do not have a room will not appear.

    To see these locations on the calendar, add a single room to the location.

  16. In the program/event software we are migrating from, we have a shared image library where all programming staff can access the images we use to promote events. They only have to click them to add them to their events. The image library is managed by an admin level user, but open to any staff for viewing/using. It would be great to have a feature like that available again.

    Our best practice for centrally controlled images is to create a template where you can also include your preferred event title and description. That makes it easy for staff to use the template and quickly update the date and location.

  17. Can we make it so when someone saves a draft event they're working on, it blocks the room off? This would be so much easier than needing to reserve the space in both places. Right now, they have to hold the room with a room booking, then put in their event information with the same dates, otherwise no one can see when a room is blocked off. Is this doable? Waiting until an event is approved for the web to have it appear on the calendar isn't ideal.

    Hello Sam,

    The best practice is to create a template called "HOLD for TBD" or "Room Hold" with placeholder information. Then staff can enter the room, date, and time which will block it off for staff or other patrons to book it. As details firm up, they can make updates before the event is approved and visible to the public.

  18. We need to be able to see room availability throughout a building prior to creating an event. As of now, you have to create all the event details and are only told when you go to publish that a room isn't available. Also, if you save your event as a draft, it doesn't actually book the room. This is very problematic.

    Hi Julianne,

    If you need to check availability more broadly, staff can use the calendar view. There is a toggle on the right to see the calendar in month or week view.

    1. Room Calendar
    2. Filter by Location
    3. Filter by Display (All, Reserved Events, Public Bookings)
    4. Filter by Status

    You should also see an option for staff to override the message that a room isn't available according to the open hours or it has already been booked.

  19. We would like to prevent patrons from booking a room more than a year in advance automatically to save on staff time. Similarly, we would like to prevent same day reservations of our meeting room which we require more advanced notice for larger groups. A way to set those up per room would be wonderful.

  20. Hi Team,

    Once the event locations are closed out we don't want them to appear in the staff list. I understand the backend requirement to display the event. I guess we need to implement soft delete. So that record will be marked deleted and retained for tracking and reporting purposes in the database.

    To hide an event from staff, uncheck the Staff Visbility box from the Advanced > Manage Event Location page.

    Belgrave Pool is hidden from staff and patrons in the top screenshot.

    Belgrave Pool is not found in the location dropdown list in the bottom screenshot as an option for a staff member creating a new event.
