  3. We frequently have programs with multiple sessions that fall into one of two categories: repeated programs happening in different buildings, or multi-session programs that need to be done in different rooms across sessions.

    It would be helpful if Vega Program could default each new session to the same room as the first existing session, but allow staff to change the room (or building) for each session.

    Currently, we must either split up these sessions (different buildings, same program) causing patrons to get confused and register twice for what is essentially the same program, or we have to put a generic…

  4. We have certain PTYPES in our system like eCards which we do not want to be able to book rooms in our library system (they are primarily for accessing eMaterials). We would like some way to specify which PTypes are able to book rooms.

  5. It would be great if the brochures could be customized. Right now, it's more confusing to use them so we don't, and it's a miss opportunity.

    1. Only programs with registration include "Bookings Required" text, but others don't say that they're drop in. Also, for "Bookings Required", patrons have no way of knowing whether the program is drop in, register online, or register by phone. Registration information would be ideal.

    2. Including tags is confusing on the patron end because they all get cut off. It would be ideal to have the option to remove the tags from the public brochures.

  7. For certain programs only allow the registration open for library card holders and add guests to a waitlist until a certain number before the event happens. At that time, move the guests automatically to the registration if there are still seats available.

    When creating an event, library staff can set a date to open registration to guests. This allows their library patrons the opportunity to book programs first.

  8. In the brochure, the "Get In Touch" section always displays the main library name and phone number. If you choose just one library location and generate the events for that location, it still gives you the general phone number. It would be great to show the phone number of the branch/branches that were filtered.

  11. We'd like to see an option to categorize rooms to help with filtering them or hiding them. For example, we have both public access rooms and staff-only rooms. However, not all staff can book the staff-only rooms, as they are only responsible for making public bookings. By categorizing the rooms, we'd hope to see all rooms of a certain category together and be able to collapse categories in the list view. Even further, it would be great to be able to hide categories from staff that are unneccesary to them and clutter their view.

  12. We use the "booking type" field for different organization types (local, non-profit) and rates. Organizations or individuals sometimes misreport their booking type and we must reject and re-enter their room booking instead of just changing the booking type.

  13. Patrons receive a confirmation that includes a " Manage Booking" box. One of our challenges is that we don't know when a patron has checked in to the room, or if they leave the room early.

    Right now, patrons don't have to stop by the desk before or after their reservation. And, if patrons leave early without telling us we can't modify the reservation to free up space for another person. In the new VEGA system could a check - in and check - out button be added to the patron's reservation confirmation?

  14. We'd love the option to edit patron information on bookings that have already concluded. Because patrons don't have to enter their full names when utilizing the guest booking feature, it would help us to be able to add that information retrospectively in order to better facilitate approvals for future use.

  16. Give libraries the option to set a default date range for brochure event generation. We typically have 3 months worth of events in the system at any given time. Patrons may not reprint the brochure and miss out on any new of updated items.

  17. Staff entering multiple room bookings are required to answer custom questions for each submission. If there was a way to turn off the custom questions somehow on the staff side to make inputing multiple bookings quicker and easier for staff.

  18. Implement a test checkbox which prevents that event's data from being used on the stats pages. For use when testing events and logging stats and you don't want those test stats to be included in your real stats as it will skew the data.

  19. We have staff that would like to be alerted when an event has no registration spots remaining–event is full. It allows staff to determine if additional spots can be added, sometimes by a change of location or meeting space. An email alert to the event contact would be a great heads up without staff having to self monitor the registration list. (Especially with decentralized programming efforts (virtual and in-person) occurring for numerous programs a month.

  20. When someone applies for a library card, the ILS provides patrons a temporary library card number beginning with "PACREG." When a patron uses this temporary number to reserve a meeting room, there is no way for staff to update the library card number attached to a reservation. It is a read only field (which is opposite in event registrations.) The ILS communication is one way, pulling name data into VP. Is it possible for the library card numbers to somehow automatically update when a permanent card number is assigned? If not, is it possible to make this field editable for…

    Grace, if you can open a Support ticket with the old card and the new card, we can ask if they can manually move the registrations to the old card.

    I think Jen's suggestion would also work in your case, where being able to update the barcode would re-link their bookings and registrations.
